Introduction

This Refund Policy outlines how Zeroknot Infotech generally handles cancellations, payment adjustments and refund-related requests across its service categories.

Because Zeroknot provides custom digital and technical services โ€” including website development, software, design, hosting, domains, marketing and IT work โ€” refund eligibility depends on the nature of the service, project stage, third-party costs already incurred, and work already performed.

This policy should be read together with Zeroknot’s Terms & Conditions, service proposals, invoices and any written service discussions where applicable. In the event of any conflict between this general policy and a specific written agreement or proposal, the written agreement or proposal may take precedence for that engagement.

General Refund Principles

Zeroknot reviews refund requests based on the service purchased, work status, time invested, resources used and third-party costs already incurred. The following general principles apply:

  • Not all payments are automatically refundable once a service or project has commenced.
  • Once custom work has started โ€” including planning, consultation, design, development, technical setup or support time โ€” that effort may already carry commercial value and may reduce or eliminate refund eligibility.
  • If external products or services have already been purchased, activated, provisioned or committed for the client, those amounts are typically non-refundable.
  • Any refund consideration may be adjusted against completed work, time already spent, purchased resources, setup charges or committed third-party costs.
  • Refund requests made after project completion, full delivery or substantial completion of services are generally not applicable unless agreed otherwise in writing.
These principles apply across all Zeroknot service categories unless a different arrangement has been specifically agreed in writing for a particular engagement.

Website, WordPress & Ecommerce Project Refunds

For custom website, WordPress or ecommerce development projects, the following applies:

  • Advance payments may be used to reserve project slots, planning time, UI/UX work, development time, setup, and consultation effort. These advance amounts may not be refundable if project work has commenced.
  • If a client cancels before any meaningful work has begun and Zeroknot has not yet committed major project resources or time, a partial or case-based refund may be considered at Zeroknot’s discretion.
  • Once planning, design, content structuring, development, configuration, testing or revision work has started, refund eligibility may reduce significantly depending on the volume of work already completed.
  • Completed milestones, approved design stages, delivered mockups, installed systems, configured websites, custom coding work or other consumed effort are generally non-refundable or only partially eligible depending on what remains undelivered.
  • If project delays occur because the client has not provided required content, brand assets, approvals, feedback, hosting credentials or access, that situation does not create a refund obligation on Zeroknot’s part.
  • Where a client changes the project scope, direction or requirements after work has started, additional costs may apply and previously paid amounts for completed work are not typically refundable.

Software & App Development Refunds

Software and application development is typically custom, resource-intensive work that involves multiple stages of planning, design, engineering and testing. The following applies:

  • Discovery, planning, architecture documentation, wireframes, coding, API integration, database design, testing, deployment setup and consultation time may be billable once commenced, and payments for these stages may not be refundable.
  • Refund requests for software or app work are reviewed based on project stage, completed work, agreed milestones, assets delivered and technical effort already invested.
  • Completed modules, documented architecture, prototype work, database setup, backend or frontend implementation, or deployment preparation may reduce or eliminate refund eligibility for the stages already delivered.
  • Where a client cancels partway through a project, Zeroknot will review what has been completed and committed, and any refund discussion will be based on the remaining undelivered scope only โ€” not the total project amount.

Graphics, Branding & Creative Service Refunds

Creative work โ€” including logo design, brand identity, social media graphics, banners, UI mockups, illustrations and other visual deliverables โ€” involves concept development and design time that begins to accumulate from the moment work starts.

  • Once concepts, initial drafts, revision rounds or custom design work have started, full refunds are generally not available.
  • If a client cancels very early before any meaningful design work has commenced, a case-based partial refund may be considered after deducting any consultation or initial setup charges that may apply.
  • Approved designs, revised deliverables, finalized brand assets or work delivered in part are generally non-refundable for those completed stages.
  • Dissatisfaction with a design direction that was approved or not clearly communicated upfront does not automatically create refund eligibility โ€” revision rounds should be used to address design direction concerns before final delivery.

Digital Marketing, SEO & Campaign Service Refunds

Marketing, SEO, campaign management and related services are performance of ongoing service work that may be billable from the point work begins:

  • Strategy work, campaign setup, ad account configuration, keyword research, content planning, reporting and optimization effort become billable once started and may not be refundable for the period already served.
  • Ad spend paid directly to advertising platforms such as Google Ads, Meta, or others โ€” whether managed by Zeroknot or separately โ€” is generally non-refundable once committed or spent, as this money goes to the ad platform and is outside Zeroknot’s control.
  • Third-party tool subscriptions, content production costs, design assets or creative production costs incurred for campaigns are generally non-refundable once purchased.
  • Monthly retainers or campaign management fees may not be refundable for work periods already served or substantially delivered.
  • Expected marketing results โ€” such as ranking improvements, lead volume, or campaign performance โ€” do not automatically create refund rights unless a separate written performance guarantee has been explicitly agreed and documented between the client and Zeroknot.

Hosting Service Refunds

Web hosting services involve account provisioning, server allocation, configuration, migration, setup, storage, panel access or commitments to resellers and hosting providers:

  • If hosting has already been activated, provisioned or purchased from a third-party provider for the client, refunds may be limited or unavailable depending on the provider’s own refund policy and costs already incurred by Zeroknot.
  • Setup fees, migration effort, configuration work, DNS management, server-side technical labour or email configuration may be non-refundable once the work has been performed.
  • Where a hosting plan has not yet been provisioned and no direct costs have been incurred, a case-based review of any payment made may be possible.
  • Hosting renewals, annual prepayments or long-term plan payments may not be refundable on a pro-rata basis unless the hosting provider itself supports such a refund and Zeroknot has not already committed those funds.

Domain Registration, Renewal & Transfer Refunds

Domain-related charges are some of the most clearly non-refundable costs in digital services:

  • Domain registration, renewal, transfer, reservation and similar registrar-related charges are generally non-refundable once the domain order has been placed, registered, renewed, transferred or processed through the domain registrar or reseller.
  • Domain fees are paid to third-party registrars and are subject to the registrar’s own rules, which typically do not permit refunds once the registration or renewal transaction has been completed.
  • Zeroknot cannot reverse or refund domain-related charges because a client later changes their mind, decides not to proceed, or chooses a different domain name, after successful domain processing โ€” unless the registrar itself permits a valid reversal in accordance with its own policy, and Zeroknot has not already incurred irreversible costs.
  • Clients are advised to confirm domain names clearly before any domain purchase is initiated to avoid domain-related payment disputes.
Domain purchases are considered committed transactions once processed. Please confirm domain names carefully before requesting any domain registration or renewal.

Business Email & Email Setup Refunds

Business email services may include consultation, DNS configuration, account setup, mailbox creation, mail migration, troubleshooting and coordination with third-party email providers:

  • Provider charges for paid email accounts, annual licences, Microsoft 365 plans, Google Workspace plans or other external email subscriptions are generally non-refundable once purchased or activated, unless the provider’s own refund terms allow otherwise.
  • Zeroknot’s setup work, configuration time, migration effort, DNS coordination and technical labour for email services may also be non-refundable once the work has been started or completed.
  • If email accounts have been provisioned, mailboxes created, or DNS records updated as part of the email setup, those service stages may be treated as completed and non-refundable regardless of whether the client subsequently chooses not to use the service.

IT Support, AMC, Migration & Technical Service Refunds

Technical support, troubleshooting, migration, system audit, maintenance, cloud setup, networking support, CCTV-related technical work and AMC services involve professional time and operational effort that is typically non-refundable once delivered:

  • Once diagnosis, remote or on-site support work, migration planning, configuration, networking setup, system installation or maintenance effort has been carried out and delivered, those charges are generally not refundable.
  • If an AMC or support arrangement has already started, refund handling will depend on the service period already consumed and work already delivered within that arrangement.
  • CCTV installation, networking hardware setup, structured cabling or physical infrastructure work may involve equipment procurement and labour that are non-refundable once the work has been performed or the equipment supplied.

Third-Party Purchases, Licences & External Charges

A significant number of Zeroknot’s services involve purchasing or activating third-party products, tools or subscriptions on behalf of clients. The following applies to all such purchases:

  • Payments made toward domain names, hosting providers, SSL certificates, premium plugins, themes, page builders, APIs, SaaS tools, email providers, app store fees, stock assets, ad budgets or any other external products or services purchased for a client are generally non-refundable once committed.
  • This is because these costs are paid to external providers over whom Zeroknot has no refund authority โ€” whether or not the client later changes their mind or cancels the project.
  • Zeroknot is not responsible for refund decisions made by third-party providers. Their own refund terms govern those transactions.
  • If a client approves a third-party purchase, or if Zeroknot procures an item specifically on the basis of a client’s project requirement, that cost may be treated as committed and non-refundable.
If you are unsure whether a particular third-party purchase is reversible, please ask before approving the procurement โ€” once a purchase is made, it may not be possible to reverse.

Client Cancellation of a Project or Service

If a client wishes to cancel an active project or ongoing service, the following process applies:

  • The client should notify Zeroknot of the cancellation intention as early as possible, in writing โ€” via email to info@zeroknot.in or through the agreed project communication channel.
  • Cancellation notification alone does not automatically guarantee any refund.
  • A refund review may be conducted considering: work already completed, milestone progress, consultations already delivered, resources allocated, third-party purchases made, technical setup already performed, and time already consumed by the project team.
  • Any refund or adjustment, if applicable, will relate only to work that remains clearly unstarted and for which no resources or costs have been committed โ€” not the total project amount.
  • Late-stage cancellations, especially after substantial project completion, are unlikely to result in meaningful refunds as the work investment has already been made.

If Zeroknot Cannot Proceed or Must Decline Work

In rare and exceptional situations, Zeroknot may find it necessary to withdraw from or decline to continue a project. This may include cases involving:

  • Technical impossibility or requirements that cannot be feasibly delivered as originally scoped
  • Repeated or prolonged lack of required client cooperation, content, access or approvals that makes delivery impossible
  • Requests that raise ethical, legal or policy concerns
  • Non-payment or payment disputes that remain unresolved
  • Other serious operational concerns agreed to be outside both parties’ reasonable control

In such cases, Zeroknot will review the project status and determine whether any partial payment adjustment is appropriate after deducting work already performed, committed costs and third-party purchases already made. Each situation will be handled on a case-by-case basis with reasonable commercial consideration for the client.
